A Day in the Life of an Electronic Government Services Agent

What does an electronic services agent actually do all day? The old image of a mu’aqqib carrying files between government offices has changed. Today Abu Faisal starts his day at his screen, helping clients across Saudi Arabia with their transactions on official government platforms and keeping in touch by WhatsApp and phone. This is how a general services office that works electronically runs from the inside.

What does an electronic services agent do?

They help individuals and companies with their government transactions online: reviewing and organizing the client’s data and documents, preparing the forms, helping the client submit step by step on official platforms, then following up and reporting every update. They do not go to government offices; all of the work is digital.

In short: the agent organizes, prepares, helps with submission and follows up online, while the client stays in control: signing in through Nafath, entering the one-time code, paying and signing personally, without sharing any password or code.

Morning: sorting the request queue

Abu Faisal opens the list of open requests and splits it into three groups:

  • Ready to submit: documents complete, waiting for a submission session with the client on the platform.
  • Waiting on the client: missing a document, a clarification or a confirmation.
  • With the authority: only the status needs tracking.

This simple sorting sets the day’s priorities and stops time being spent on an incomplete file while a ready one waits.

Midday: working on the platforms

Helping with submission and tracking

He moves between platforms depending on the transaction, for example Absher for individual services, Qiwa for labor services, Ejar for lease contracts and Najiz for judicial services. These are only examples; each platform has its own requirements and steps. When it is time to submit, he guides the client step by step by phone or WhatsApp; the client signs in, enters the verification code and pays, while Abu Faisal checks the data and attachments before sending.

Preparing documents digitally

Much of the day goes into documents: legible scans, clear file names, matching names and ID numbers and attachments ordered as the form requires. A small data error can send a request back to the start, so he uses a fixed checklist for each transaction type.

TaskWhy it matters
Matching dataOne wrong letter in a name can get a request rejected.
Legible attachmentsAn unreadable document will be requested again.
Ordered filesEasier review and fewer repeat requests.
Logging each stepClient and office both know exactly where the request stands.

Keeping clients updated on WhatsApp

Messages arrive all day: a status question, a new document, a query about a service. Abu Faisal replies with short, clear updates: what was done, what comes next and what the client needs to provide, if anything. He avoids promising dates, because the authority’s decision is not in his hands.

End of day: review and update

  • Update the status of every request in the office log.
  • Send a summary to each client whose request has moved.
  • Flag requests waiting on documents and remind their owners.
  • Prepare tomorrow’s list so the next day does not start from zero.

What clients can take from this

The more complete and clear your documents are, and the more available you are for sign-in and verification steps, the smoother your government transaction support will be. To see what can be followed online, see our services or transaction follow-up pages. Fees depend on the type of service and the requirements; government fees are separate.

If you are comparing providers, these same habits are what to look for when choosing an online transaction support provider.
